Tenant placement is the workflow that turns a vacant property into a signed lease with a screened tenant. It runs from initial marketing through showings, applications, screening, lease drafting, and key handover. For most Calgary owners, vacancy is the single largest hidden cost, every extra day a unit sits empty is 0.27% of annual rent gone. We treat placement speed (without sacrificing screening rigour) as a core KPI of the service.
Tenant Placement in Calgary
Calgary tenant placement starts before the previous tenant moves out. Our standard process begins marketing 60 days before a known lease end-date, with professional photography (taken with the unit clean and ideally vacant or near-vacant), MLS listing, and syndication to RentFaster, Kijiji, Facebook Marketplace, and Calgary commuter platforms. For owners taking on a new property, the same marketing kicks in within 5 business days of the management agreement signing. Early marketing converts to faster placement; properties marketed reactively after a tenant moves out routinely sit vacant 2–3 weeks longer than properties marketed proactively.
Showings are the conversion step. We run a mix of scheduled individual showings and small open houses depending on the property type and submarket. Inner-city condos with high applicant volume often benefit from grouped open houses (3–4 prospects in 30 minutes). Family suburb single-family homes typically convert better with individual scheduled showings (one applicant family at a time, 30–45 minute walkthrough). Premium and luxury properties run private appointment-only showings, sometimes with NDA-style protocols. The format choice affects both conversion rate and tenant quality.
Application processing runs in parallel with continued marketing. We don't stop showings until the right applicant is approved and the lease is signed. A common mistake is pausing marketing on the first decent application, if that application fails screening or backs out, you've lost a week of showings. We continue listing activity until a tenant is contractually committed via signed lease and security deposit received. Then we coordinate the move-in inspection, key handover, and lease activation in a structured close-out sequence.
Calgary's tenant placement timing varies by submarket. Inner-city condos (Beltline, East Village, Mission) often place in under 14 days when priced correctly. Family suburb single-family homes typically place in 14–30 days. Student-area Brentwood and Varsity peak in August (academic year alignment) and slow December–February. Strathmore, Cochrane premium properties, and luxury rentals can run 30–60 days due to smaller qualified-applicant pools. We model expected placement time based on property type, submarket, season, and rent positioning at the start of every assignment so owner expectations are calibrated correctly.

What You Get
We handle the entire process from start to finish, so you can sit back while we take care of finding you a quality tenant. Here's exactly what happens once you sign on.
Our 90-Day Agreement
We work on a 90-day contract. We are confident in our process, but we also understand that trust has to be earned. If at any point you're not satisfied with our service, you have the option to cancel with 30 days' written notice, and you will not be obligated to pay the remaining balance. The initial retainer is the only amount required to get started.
From the Ground
Every extra day vacant is 0.27% of annual rent gone. 30 extra days vacant = 8.2% of annual rent gone. Vacancy cost dwarfs management-fee differences on most properties.
Properties marketed 60 days before a known lease end-date place 2–3 weeks faster than reactively-marketed properties. Pre-marketing converts to faster placement at the same rent point.
Continuing to show until the lease is signed reduces the cost of any single applicant backing out or failing screening. Sequential single-applicant processing introduces unnecessary vacancy risk.
Inner-city condos convert well with grouped open houses. Family suburb SFH convert better with individual showings. Premium properties need private appointments. Wrong format costs days or weeks.
Inner-city condos: under 14 days. Family suburbs: 14–30 days. Student-area: August peak, winter trough. Luxury: 30–60 days. Modeling expected placement time per submarket calibrates owner expectations correctly.
